What is a Brainspace License?

A Brainspace license provides a limited authorization to run the Brainspace software.

Brainspace offers different license models to meet our customers’ needs:

  • Reusable license – Provides a maximum ‘documents in system’ limit. This license type is ideal for organizations that run multiple, limited duration projects. Reusable licenses offer both Active and Inactive document volume limits. 

    • Active license – Used for Datasets actively being used with Brainspace analytics.

    • Inactive license – Used to suspend Brainspace analytics on completed or inactive projects. Inactive Datasets no longer consume system memory resources.

  • Consumable license – This model allows organizations with unknown project workload to acquire Brainspace license volume based on their current project plans. The Consumable license allows for a limited volume of documents to be put into the Brainspace analytics solution.

  • User-based license – Provides Brainspace access on a per named user basis. User based licenses are not limited by document volumes but system resources need to be closely monitored and managed to prevent driving system utilization beyond the capabilities of the solution.

The term ‘document’ refers to the ingested text and metadata associated with a single record put into Brainspace for the purpose of analysis.

Each of the Brainspace license models may employ one or more of the following limits: License Expiration Date, Document Count Limits, User Count Limits, and Dataset Count Limits (including Active and Inactive Datasets). If one of these limits is reached, the Brainspace application will be disabled. A detailed explanation of each license limit is provided below.

  • Expiration Date – As of this date you will not be able to run key functions of the Brainspace software. This date works independent of any Document Count limits that are discussed below. Regardless of whether the Document Count Limits have been reached, users will not be permitted to use key features of the application including the visualizations, searching, tagging, building predictive models, etc. after the license Expiration Date.

  • Document Count Limits

    • Active Dataset Documents – Total number of documents for all Datasets currently set to “enabled”.  Enabled Datasets will have a green indicator light (see examples below), are available for Brainspace analytics and consume system memory.

    • Inactive Dataset Documents – Total number of documents for all Datasets currently set to “disabled” (or not enabled). Disabled Datasets will have a grey indicator light, are NOT available for Brainspace analytics, nor do they consume system memory.

    • Total Dataset Documents – Total number of documents for all Datasets regardless of whether the Dataset is “enabled” or “disabled”.

  • Consumed Document limit – Total number of documents capable of being ingested into Brainspace with the current license. Once this limit is reached, no further document may be added, although Brainspace analytics usage may continue through the term of the license until the Expiration Date is reached.

    Note

    If any one of the three Dataset Document totals above reaches the maximum number of allowable Dataset Document Limits based on the license purchased, you will not be able to run key functions of the Brainspace software.

  • User Count Limits 

    • Maximum Total Users – This is the total number of allowable users within Brainspace regardless of what Datasets they have access to and regardless of the whether those Datasets are “enabled” or “disabled”.

  • Dataset Count Limits

    • Maximum Active Datasets– This is the total number of allowable Datasets that are currently “enabled”.

    • Maximum Inactive Datasets – This is the total number of allowable Datasets that are currently “disabled”.

    • Maximum Datasets – This is the total number of allowable Datasets in Brainspace regardless of whether the Dataset is currently “enabled” or “disabled”.

The License limit information can be viewed within Brainspace by opening the Services tab with the Administration screen and clicking on the Info icon just below the Application server. The License details are listed in the middle of the Info screen.

How do I get a new license?

To obtain a new license please reach out to your Brainspace Sales representative or contact sales@revealdata.com.

Do I need just one license?

You will receive a single license that is then copied to each of your servers that make up your Brainspace Instance.

What if I need to increase any of the license limits described above including the Expiration Date?

If at any point you feel that you may reach any of your license limits you can contact your Brainspace Sales representative or email sales@revealdata.com to purchase an increase in your license limits.

How can I tell if I am close to reaching my license limits?

You can view any of the license limits described above by navigating to the Servers tab within the Administration screen and clicking on the Info icon just below the Application Server. The License Limits will be displayed in the middle of the Info screen.

How do I know which license limits have been applied to my license?

You can view the license limits detail by navigating to the Servers tab within the Administration screen and clicking on the Info icon just below the Application Server. Only the license limits applicable to your license will be displayed within the License Limits screen.
